Manage big video projects better. Create a project wiki. 04/07/11
After you successfully create a Company Knowledge base Wiki you will be ready to start using wikis more regularly. Say goodbye to tangled email threads and document hunting. Everything related to your video or video series will be all in one place.
With a Project Wiki you will:
- have an automated document management process
– keep better track of the review video process
– have more transparency
– have better accountability
– be able to work faster
– be able to involve a wider range of people
- get more accurate information
- make better videos as a result
An example project wiki:
The previously mentioned hack on building a Company Knowledge base covers the basics of setting up a wiki. So this hack on using a wiki for your media project focuses more on content. Below are screen shots of the sample content for the wiki categories.
MEETING NOTES
This example shows initial meeting notes. But it would be good practice to record and disseminate notes generated in daily internal review sessions into your wiki as well. This would very useful for filtering comments that are spoken during general meeting into there appropriate project folders.
BRAINSTORM
RESEARCH
CUSTOM PROJECT WORKFLOW
TECHNICAL SPECS (post-production)
CODES
(Note: It’s understandable to have reservations about putting project codes on your wiki. But almost all wikis have some kind permission system that gives the administrator tight control on folder access. This will ensure that only authorized users will be able to view sensitive data. Work with your IT department to establish guidelines and protocols to implement a system that preserves project security).
DAILY PROJECT WORK LOG
APPROVAL LIFE CYCLE
POST PROJECT ANALYSIS
(the form below was made with Google Form. Unfortunately, Google as of yet does not allow a way for this form to be exported).
You can however import an .xls version of your form into your wiki page and the data and sheet structure will be maintained.
CONTACTS
REQUESTS
At some point during your project you will get a request for a new deliverable. This will be a written request or a vocal request. Either way, get clear on what is being asked and then convert this information into a new line on your Project Deliverables spreadsheet.

MEDIA
The beauty of having a project wiki is that it makes for more comprehensive project archiving. They are systems for granular media archiving like XDCAM and LTO tape. But what’s not preserved is the thought process behind the creation of the video. A project wiki helps you to see all the minute-to-minute and day-to-day decisions that are made during the course of creating a video.
